To perform our work effectively, it is often necessary to process personal data. We take care to handle your personal data in a lawful, proper, and transparent manner, and we respect everyone's privacy. Therefore, we adhere to the principles of the Dutch General Data Protection Regulation (AVG) as set out in the Board's decision.
To process your data with integrity and confidentiality, we take appropriate measures to prevent abuse, loss, unauthorized access, and other unwanted actions involving personal data. The choice of these measures is based on available technology, the type of personal data we collect, and the associated risks. Your data is only processed by individuals bound by confidentiality obligations. We only process personal data that is strictly necessary for the purpose for which it is processed or for compatible purposes. This way, we limit the storage of your personal data. With your cooperation, we ensure that we work with accurate data.
When registering for an activity
If you register for a conference, course, training, or other event, we process the information you provide on the registration form. This includes at least your name, address, and contact details, and sometimes other information such as dietary preferences or any restrictions you disclose to us. Additionally, we may record your organization and position. We process your data to properly organize the conference or event and fulfill the agreement. This includes processing them to communicate about the registration, create name badges, and send you information before and/or after the event, such as a program, report, or responses to your questions. We may also send you an evaluation form by email after the event. We handle your response to the evaluation as confidentially as possible, and we do not include personal data in the evaluation report. If you choose to provide your contact information, for example, to elaborate on your evaluation or because you have a complaint, we will only process that personal data for that purpose.
During an activity visit: photos and promotion
Photos are taken and film footage is recorded during our activities. We use these photos and/or film materials for our communication, reports, and promotion of future activities. If you do not wish to appear in these photos or film materials, you can indicate this on the spot to the photographer, filmmaker, or event organizer.
For providing participant lists
After you have registered for an activity, we may provide your data to other participants, speakers, instructors, or organizers. The following applies in this regard:
Other purposes
We use your email address, business address, and/or name for invoicing, debt collection, and our bookkeeping. We are obligated by tax law to retain your data in our records. We also use this information to handle any complaints and/or disputes with you.
Sharing with third parties
We only provide your data to third parties if necessary for the performance of our agreement with you, to comply with a legal obligation, or with your consent.
Responsibility/information obtained from third parties
We are the "controller" when it comes to the conferences, courses, trainings, and academy events that we organize ourselves. In that case, we are the ones who determine which personal data we process, for what purpose, and in what manner. If you want to access, correct or delete this data, or if you have any questions about the processing of your personal data, want to make adjustments, or withdraw your consent, please contact us at informatieveiligheid@hoharuba.com.
Retention period
We do not retain personal data for longer than necessary for the purpose to which the data is related, or as long as required by law.
Your rights
